Last Updated: June 30, 2026

1. Introduction

These Terms and Conditions (“Terms”) govern the use of the website operated by L&L Events London Ltd, trading as L&L Proposals (“Company”, “we”, “our”, or “us”), and the provision of all proposal planning, engagement celebration, wedding planning, destination event management, concierge services, consulting services, and related event coordination services offered by the Company.

By accessing our website, submitting an inquiry, booking a consultation, engaging our services, signing a proposal, paying a deposit, or otherwise entering into a business relationship with us, you agree to be legally bound by these Terms and Conditions. If you do not agree with any provision contained herein, you should discontinue use of our website and refrain from engaging our services.

These Terms are intended to create a clear and professional framework for the relationship between the Company and its clients. They are designed to protect both parties, establish realistic expectations, and support the successful delivery of luxury event planning services that are often highly bespoke, time-sensitive, and dependent on third-party suppliers, venues, travel arrangements, and client cooperation.

Where a separate written agreement, proposal, quotation, or contract has been issued by the Company, those documents shall be read together with these Terms. In the event of any inconsistency, the specific written agreement shall prevail to the extent of that inconsistency, unless otherwise stated in writing by the Company.

The Company operates from the United Kingdom and provides services to clients in the UK and internationally, subject always to availability, feasibility, legal compliance, and the terms of any applicable service agreement.

3. Services

L&L Proposals specializes in the planning, design, management, and coordination of luxury proposal experiences, engagement celebrations, destination weddings, wedding-related events, private celebrations, concierge services, and bespoke event experiences. Our services are tailored to the individual needs of each client and may vary significantly depending on the nature, scale, location, and complexity of the event.

In many cases, our role is to provide creative direction, logistical coordination, supplier liaison, planning support, and event management services. We may assist with concept development, venue sourcing, vendor recommendations, styling, guest experience, travel arrangements, and on-the-day coordination. However, the exact scope of our involvement will always depend on the terms agreed with the client and the specific package or service selected.

Services may include, but are not limited to:

  • Proposal planning and execution

  • Engagement celebration planning

  • Luxury wedding planning

  • Multi-destination wedding management

  • Venue sourcing

  • Vendor sourcing and coordination

  • Event design and styling

  • Guest experience management

  • Travel coordination assistance

  • Luxury concierge services

  • Photography and videography coordination

  • Entertainment sourcing

  • Hospitality arrangements

  • Event production and logistics

These services are not exhaustive and may be adapted or expanded to suit the requirements of a particular project.

The specific scope of services shall be defined within each individual client agreement, proposal, quotation, or service contract. Any services not expressly included in the written agreement shall be treated as outside the agreed scope and may be subject to additional charges if requested by the client and accepted by the Company.

4. Client Eligibility

Clients engaging our services must be at least eighteen (18) years of age and legally capable of entering into binding contractual agreements. Where a client is acting on behalf of another person, family, business, trust, or organisation, that client must have full authority to do so and must ensure that all instructions given to the Company are properly authorised.

By engaging our services, the client represents and warrants that all information provided is accurate, complete, and not misleading. The client further confirms that they possess the authority to make decisions relating to the event, to approve budgets and proposals, and to enter into contracts with the Company and, where applicable, with third-party suppliers.

The client also agrees to comply with all applicable laws and regulations, including those relating to travel, venue use, event licensing, health and safety, immigration, and any local requirements that may apply to the event location. We reserve the right to refuse services where we reasonably believe that information provided is inaccurate, misleading, fraudulent, unlawful, or inconsistent with our business values. We may also decline to continue working with a client where there is unreasonable conduct, repeated non-cooperation, or a material breach of these Terms.

5. Service Proposals & Quotations

All proposals, quotations, budgets, estimates, presentations, recommendations, concepts, timelines, and planning documents provided by L&L Proposals are confidential and remain the intellectual property of the Company unless otherwise agreed in writing. These materials are prepared specifically for the client and are intended solely for the purpose of considering and, where appropriate, engaging our services.

Unless specifically stated otherwise, quotations are subject to change. Prices may vary due to vendor availability, venue costs, currency fluctuations, supplier cost increases, changes in travel arrangements, or other factors outside our control. In luxury event planning, many elements are dependent on third-party pricing and availability, and therefore any estimate provided should be understood as indicative unless expressly confirmed as fixed in writing.

A quotation does not constitute a confirmed booking until written acceptance and payment requirements have been satisfied. The Company is under no obligation to hold dates, reserve suppliers, or commence detailed planning until the client has formally accepted the proposal and complied with any deposit or documentation requirements. Any concepts or creative ideas shared during the proposal stage remain the property of the Company and may not be reproduced, shared, or used by the client or any third party without our prior written consent.

6. Booking Confirmation

A booking is considered confirmed only when a written agreement has been executed, any required deposit has been paid, required planning documentation has been completed, and written confirmation has been issued by the Company. Until all of these steps have been completed, no booking shall be treated as final, and dates, vendors, venues, and services remain subject to availability.

The Company reserves the right to decline any booking request at its sole discretion. This may occur where the requested event is not operationally feasible, where the proposed timeline is unrealistic, where the budget is insufficient for the requested scope, where there are concerns regarding client conduct or compliance, or where the Company is otherwise unable to deliver the service to the standard required.

Clients should not make non-refundable travel arrangements, venue commitments, or other financial commitments in reliance on an inquiry or draft proposal unless and until the booking has been formally confirmed in writing by the Company. Any costs incurred by the client before confirmation are undertaken at the client’s own risk.

7. Deposits & Payment Terms

To secure services, clients may be required to pay a non-refundable booking deposit. The amount of the deposit will vary depending upon the nature of the event, the destination, the level of planning required, the anticipated vendor commitments, and the overall service package selected by the client.

Unless otherwise agreed in writing, deposits are non-refundable. They are intended to secure planning resources, reserve dates, compensate for preliminary planning activities, and reflect the opportunity cost of turning away other work in order to accommodate the client’s event. Once a deposit has been paid, the Company may begin work immediately, and therefore the deposit shall not be treated as a payment on account that can be reclaimed simply because the client changes their mind.

Remaining balances must be paid according to the payment schedule outlined in the client agreement. Where no specific schedule is stated, the Company may issue invoices at intervals it considers reasonable based on the progress of the project. Failure to make payments when due may result in suspension of services, cancellation of bookings, release of vendors, and the imposition of additional administrative fees or recovery costs where applicable.

If a payment is overdue, the Company may, without prejudice to any other rights, withhold further work, cancel supplier arrangements, or treat the agreement as terminated. The client remains responsible for all amounts properly incurred up to the date of termination, including any non-refundable third-party costs, cancellation charges, or expenses already committed on the client’s behalf.

For clarity, the following may apply:

  • Deposits are required to secure availability and begin planning.

  • Payment deadlines must be observed strictly.

  • Late payments may delay the event planning process.

  • Any bank charges, transfer fees, or currency conversion costs are the client’s responsibility.

  • The Company is not obliged to proceed with services while any invoice remains unpaid.

8. Vendor & Supplier Relationships

L&L Proposals acts as a planner, coordinator, and facilitator between clients and third-party suppliers. In the course of delivering our services, we may recommend, introduce, liaise with, or coordinate with a wide range of suppliers, including hotels, resorts, airlines, travel providers, photographers, videographers, caterers, florists, entertainment providers, transportation providers, rental companies, and decor suppliers.

While we carefully select professional suppliers and may recommend those with whom we have had positive experience, we do not own, operate, or control independent third-party vendors. Each supplier remains responsible for its own business operations, pricing, availability, performance, insurance, licensing, staffing, and contractual obligations. Any agreement entered into directly between the client and a supplier is a separate arrangement to which the Company is not a party unless expressly stated otherwise.

Accordingly, supplier performance cannot be guaranteed, and vendor actions, delays, service failures, insolvency, cancellations, or omissions remain the responsibility of the relevant supplier. The Company shall not be liable for losses resulting from third-party supplier failures beyond our reasonable control. Where a supplier fails to perform, we may, at our discretion and where feasible, assist the client in seeking an alternative solution, but we do not guarantee that a replacement will be available, affordable, or equivalent.

9. Client Responsibilities

Clients agree to cooperate fully throughout the planning process and to act in good faith at all times. Luxury event planning is highly collaborative, and the quality of the final result depends in part on the client providing timely decisions, accurate information, and clear instructions. Delays or omissions on the part of the client can affect supplier availability, planning timelines, and the overall success of the event.

Clients shall:

  • Provide accurate, complete, and up-to-date information.

  • Respond to requests, approvals, and queries promptly.

  • Review all planning documents carefully before confirming.

  • Communicate any changes or concerns without delay.

  • Obtain and maintain all necessary travel documentation.

  • Ensure guests possess valid travel documents where relevant.

  • Comply with venue rules, supplier policies, and local regulations.

  • Make payments by the agreed deadlines.

  • Treat the Company, its staff, and its suppliers with courtesy and respect.

Where the event involves international travel or destination arrangements, the client is responsible for ensuring that all participants meet the relevant entry, visa, passport, health, and insurance requirements.

The Company shall not be liable for issues arising from inaccurate, incomplete, or delayed client information. If the client fails to provide approvals, instructions, or required documentation within the time requested, the Company may proceed on the basis of the information available, may delay the project, or may treat the delay as a client-caused interruption for which additional fees or revised timelines may apply.

10. Event Changes & Amendments

Luxury events often evolve during planning, and we recognise that clients may wish to refine or amend their plans as the project develops. Requests for changes may include venue changes, date changes, guest count changes, design revisions, travel adjustments, or supplier substitutions. While we will always seek to accommodate reasonable requests where possible, changes are subject to feasibility, supplier availability, and any additional costs or penalties that may arise.

Such changes may result in additional fees, supplier penalties, planning delays, or reduced availability. Some amendments may require the cancellation and rebooking of services, the renegotiation of supplier contracts, or the redesign of event elements already in progress. In those circumstances, the client will be responsible for any additional costs incurred by the Company or by third parties as a result of the requested change.

The Company reserves the right to charge reasonable fees for significant amendments requiring additional planning resources. No amendment shall be binding unless confirmed in writing. Verbal requests, informal messages, or assumptions shall not be treated as approved changes unless and until the Company has expressly confirmed them in writing.

Examples of changes that may attract additional charges include:

  • A change of event date after suppliers have been secured.

  • An increase in guest numbers requiring revised logistics.

  • A venue relocation requiring new sourcing and negotiation.

  • A redesign of the event concept after approval.

  • Additional meetings, site visits, or coordination beyond the agreed scope.

11. Destination Events

For destination proposals, engagement celebrations, and weddings, clients acknowledge that international travel involves additional risks and complexities. These may include travel disruptions, airline cancellations, immigration issues, weather conditions, political events, public health concerns, local regulatory requirements, and variations in local customs or business practices.

Clients remain responsible for passports, visas, travel insurance, health documentation, and entry requirements. It is the client’s responsibility to ensure that all travellers, guests, and participants have the necessary documentation and meet the legal requirements for travel and attendance at the destination. The Company may provide guidance or assistance where appropriate, but such assistance should not be relied upon as legal or immigration advice.

We strongly recommend comprehensive travel insurance for all destination events. The Company shall not be responsible for losses arising from travel-related disruptions beyond our control. This includes, without limitation, missed flights, border closures, airline schedule changes, adverse weather, acts of government, civil unrest, natural disasters, or any other event that prevents or delays travel or event attendance. Where such circumstances arise, we will endeavour to support the client in finding practical solutions, but we cannot guarantee that the original event plan will remain possible or unchanged.

Clients should also note the following:

  • Local laws and customs may differ significantly from those in the United Kingdom.

  • Venue and supplier standards may vary by country.

  • Additional permits, licences, or approvals may be required.

  • Currency fluctuations may affect final costs.

  • Travel schedules should allow sufficient flexibility for unforeseen delays.

The Company accepts no responsibility for losses, inconvenience, or disappointment caused by circumstances outside its reasonable control in connection with destination events.

12. Cancellations & Refund Policy

Due to the bespoke nature of our services and the substantial time, resources, planning, and supplier commitments involved in luxury proposals, engagement celebrations, weddings, and destination events, cancellation requests are subject to the provisions set out in this section.

Clients may request cancellation of services by providing written notice to the Company. A cancellation shall only become effective when acknowledged in writing by the Company. Verbal cancellations, text messages, or informal communications shall not be deemed valid notice unless confirmed by the Company.

Because planning work often begins immediately after booking confirmation, deposits paid to the Company are generally non-refundable. In addition, clients may remain responsible for costs already incurred on their behalf, including supplier deposits, venue reservation fees, travel-related commitments, design work, consultation time, administrative costs, and planning services completed prior to cancellation.

Depending on the timing of the cancellation, additional cancellation charges may apply. These charges reflect the work already completed, resources allocated, and opportunities forgone by the Company in reserving time and availability for the client’s event.

Without limitation, the following principles may apply:

  • Booking deposits are non-refundable.
  • Supplier deposits may be non-refundable.
  • Custom design and planning work is non-refundable once commenced.
  • Cancellation charges may increase as the event date approaches.
  • Third-party supplier cancellation policies shall apply independently.

Where any refund is approved, it shall be limited to amounts actually received by the Company and not already committed or incurred. Refund processing times may vary depending upon banking institutions and accounting procedures.

The Company reserves the right to cancel services where:

  • The client materially breaches these Terms.
  • Payments remain outstanding.
  • The client engages in abusive, threatening, discriminatory, or unreasonable conduct.
  • The event becomes unlawful or impossible to perform.
  • Circumstances arise that materially affect the Company’s ability to deliver services safely and professionally.

In such circumstances, the Company reserves the right to retain payments reasonably attributable to work completed and costs incurred.

13. Force Majeure

The Company shall not be liable for any failure, delay, interruption, cancellation, or inability to perform its obligations where such circumstances arise as a result of events beyond its reasonable control.

Force Majeure events may include, without limitation:

  • Natural disasters.
  • Severe weather conditions.
  • Floods, earthquakes, hurricanes, or wildfires.
  • Pandemics or public health emergencies.
  • Government restrictions.
  • Acts of terrorism.
  • Civil unrest or political instability.
  • Strikes or labour disputes.
  • Transportation disruptions.
  • Border closures.
  • Power failures.
  • Communication failures.
  • Supplier insolvency.
  • Venue closures.
  • Military conflict.
  • Acts of God.

Where a Force Majeure event occurs, the Company shall make reasonable efforts to mitigate the impact and explore alternative arrangements where feasible. However, the Company does not guarantee that replacement arrangements, revised dates, or substitute services will be available.

Any additional costs resulting from Force Majeure events, including rescheduling expenses, supplier charges, travel amendments, accommodation changes, or alternative venue arrangements, shall remain the responsibility of the client unless otherwise agreed in writing.

14. Confidentiality

The Company recognises that proposals, engagement celebrations, weddings, and private events frequently involve highly personal, confidential, and commercially sensitive information. Both parties agree to maintain confidentiality regarding information obtained during the course of the engagement.

Confidential information may include:

  • Event concepts and designs.
  • Budgets and financial information.
  • Guest lists.
  • Travel arrangements.
  • Family information.
  • Business information.
  • Personal preferences.
  • Private communications.
  • Event locations.
  • Supplier arrangements.
  • Strategic planning documents.

Neither party shall disclose confidential information to third parties except where disclosure is necessary for the performance of services, required by law, authorised by the other party, or reasonably necessary to fulfil contractual obligations.

This confidentiality obligation shall survive the completion, cancellation, or termination of services.

15. High-Net-Worth Individuals & Private Client Protection

L&L Proposals regularly serves high-net-worth individuals, prominent families, public figures, business leaders, and clients requiring enhanced privacy protections. We understand that such clients may have unique confidentiality, security, and reputational considerations.

Where appropriate, additional privacy measures may be implemented, including:

  • Restricted information access.
  • Enhanced confidentiality procedures.
  • Non-disclosure agreements.
  • Private communication channels.
  • Limited supplier disclosure.
  • Confidential venue arrangements.
  • Privacy-focused event management.

The Company shall take reasonable steps to protect sensitive client information; however, we cannot guarantee absolute confidentiality where disclosure is required by law, regulation, court order, governmental authority, or circumstances beyond our reasonable control.

Clients are encouraged to inform us at the earliest opportunity of any specific privacy, security, or confidentiality requirements that may affect planning and operational arrangements.

16. Photography, Videography & Media Usage

The Company may coordinate photography, videography, drone filming, content creation, and related media services as part of event planning services.

Ownership and usage rights relating to photographs, videos, recordings, and other content may be governed by separate agreements between the client and the relevant photographer, videographer, or content creator.

Unless otherwise agreed in writing:

  • The Company does not automatically own event photography.
  • Media rights may remain with the creator.
  • Usage permissions may require separate consent.
  • Supplier licensing terms may apply.

Where clients provide consent, the Company may use selected photographs, videos, testimonials, reviews, or event content for:

  • Portfolio displays.
  • Website galleries.
  • Marketing campaigns.
  • Social media content.
  • Editorial publications.
  • Promotional materials.

Clients may request restrictions on media usage. Such requests should be made in writing before the event date.

For private and high-profile clients, the Company will make reasonable efforts to respect agreed confidentiality requirements concerning media publication.

17. Intellectual Property

All intellectual property created, developed, designed, prepared, or supplied by the Company remains the exclusive property of L&L Events London Ltd unless expressly transferred in writing.

This includes:

  • Proposal concepts.
  • Event designs.
  • Mood boards.
  • Planning documents.
  • Presentations.
  • Creative strategies.
  • Branding concepts.
  • Timelines.
  • Vendor recommendations.
  • Event production plans.

Clients receive a limited, non-transferable right to use such materials solely for purposes directly related to the agreed services.

Clients shall not:

  • Reproduce Company materials.
  • Resell Company concepts.
  • Share planning documents with competitors.
  • Use designs for unrelated projects.
  • Remove copyright notices.

Unauthorised use of Company intellectual property may result in legal action.

18. Limitation Of Liability

To the fullest extent permitted by law, the Company’s total liability arising from any claim connected with its services shall be limited to the total fees actually paid by the client to the Company for the specific services giving rise to the claim.

The Company shall not be liable for:

  • Indirect losses.
  • Consequential losses.
  • Loss of profits.
  • Loss of reputation.
  • Emotional distress.

  • Death or personal injury caused by negligence.
  • Any liability that cannot legally be excluded under English law.

Clients acknowledge that event planning inherently involves risks beyond the Company’s control and that no guarantee can be given regarding every aspect of an event outcome.

19. Indemnification

Clients agree to indemnify, defend, and hold harmless the Company, its directors, employees, contractors, agents, and representatives against claims, liabilities, damages, costs, losses, expenses, and legal fees arising from:

Any dispute arising out of or relating to these Terms, the services provided, or any contractual relationship between the parties shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Before commencing legal proceedings, both parties agree to make reasonable efforts to resolve disputes through good-faith negotiations, discussions, or alternative dispute resolution procedures where appropriate.

The failure of either party to enforce any provision of these Terms shall not constitute a waiver of that provision or any related rights.

21. Entire Agreement

These Terms and Conditions, together with any signed agreement, proposal, quotation, invoice, privacy policy, and related service documentation issued by the Company, constitute the entire agreement between the parties and supersede all previous discussions, representations, negotiations, and understandings relating to the services.

Any amendment or variation to these Terms must be agreed in writing by the Company. No verbal statement, informal communication, or course of conduct shall modify these Terms unless expressly confirmed in writing.
